CleanScan is designed to simplify product ordering by allowing on-site teams to order from a pre-approved list of products selected by an administrator. This removes unnecessary delays, reduces administration and ensures sites always have access to the products they need to operate effectively.

To make the process even faster, CleanHub includes an optional Automatic Order Approval feature. Once enabled, administrators can set a maximum order value that cleaning teams are authorised to purchase without requiring manual approval. Whether you choose a modest threshold or a higher spending limit, you remain in complete control of how the system operates.

When an order falls within the approved value, it is automatically processed, removing approval bottlenecks and helping ensure products arrive on-site faster. This can be particularly valuable for cleaning contractors managing multiple locations, where manually approving routine orders can become time-consuming.

For additional protection, Automatic Order Approval works alongside CleanHub's Budget Control functionality. The system automatically considers the site's available budget and will never approve orders that exceed the remaining allocated spend. This means you can streamline ordering while maintaining clear financial controls across your operation.

Automatic Order Approval is designed to remove unnecessary approval delays while ensuring spending remains controlled. Once enabled, your teams can order the products they need from their pre-approved product list, and CleanHub takes care of the rest.

1) Enable Automatic Order Approval
Log in to your CleanHub account, navigate to the address settings and switch on Automatic Order Approval for the locations you wish to manage.

2) Set an order value limit
Choose the maximum value that on-site teams can spend in a single order without requiring manual approval. You can adjust this amount at any time.

3) Teams place orders through CleanScan
Cleaning staff scan their site-specific CleanScan QR code and order products from their approved product list as normal.

4) Orders are automatically reviewed
CleanHub checks that the order value falls within the approved spending limit and that sufficient budget remains available for the site.

5) Orders are automatically approved and processed
If all criteria are met, the order is approved instantly and sent for fulfilment without any management intervention.

6) Maintain complete budget control
Automatic Order Approval works alongside your site budget settings, ensuring approved orders never exceed the remaining allocated budget for that location.
