How we turned multi-site ordering into a simple, controlled system across 334 sites

The challenge: supply that couldn’t keep pace with the operation

CleanKing UK is a privately owned, fast-moving cleaning business led by Paul Hillman, who has over 20 years’ experience in the industry. With 900+ cleaners and multiple service divisions – including daily contract cleaning and specialist work like kitchen deep cleans carpet cleaning and floor restoration – consistency is crucial. When teams are on site, they need the right products, delivered on time, with minimal administrative friction.

Before partnering with AUK Hygiene, CleanKing had run into a familiar issue for multi-site contractors: supply and support that wasn’t consistent or efficient enough across a growing estate.

They experienced several challenges:

  • Inconsistent product availability
  • Delivery delays
  • Limited guidance on the best-fit products for different requirements

The result wasn’t just inconvenience. It put pressure on day-to-day operations and made it hard to standardise hygiene processes across contracts.

The need: reliable supply, tighter control, and a simpler way to order

CleanKing was looking for a supplier who could do three things well:

  • Deliver high-quality products consistently
  • Stick to dependable delivery schedules
  • Proactively support ordering, stock control and compliance to help streamline operations

Our response: a rollout built for scale

We’d supported CleanKing’s South West for several years. In 2025, their national headquarters approached us with a bigger ask: streamline supply across the wider business, consolidate accounts, and support a more sustainable cleaning offer for their clients.

Our approach? We treated it like an implementation project, not just a supply switch. We built the rollout around a structured process, so nothing fell through the cracks.

Our Step-by-Step Approach

Step one: support sustainability without compromising performance

To help CleanKing meet their sustainability ambitions, we introduced them to Windmill Synergy – our own-brand, eco-friendly, plant-based cleaning range designed for high-performance commercial use.

We also gave them access to our Windmill Refill programme, so empty 5L Windmill Synergy bottles could be returned for refill rather than going to landfill.

Step two: consolidate two businesses into one working account

Alongside the product transition, CleanKing needed a major integration project: combining two existing businesses into a single consolidated account, while continuing to supply the full estate without disruption.

That meant onboarding and setting up 334 new delivery locations – each with a practical ordering process, the right commercial controls and compliance documentation.

Step three: make ordering fast for sites and controlled for head office

This is where the detail really mattered. The goal wasn’t simply ‘get the addresses into the system’. It was to ensure each site could:

  • Order accurately, from the right product range
  • Stay within agreed controls (permissions, budgets, approvals)
  • Access compliance info when needed
  • Receive deliveries reliably, with clear communication
AUK Hygiene came highly recommended by our other offices, who had positive experiences with their reliability, product quality, and level of service. This gave us confidence that they could effectively support our operations. This has already been proven by AUK by increasing their delivery van fleet to help service the areas we needed.

Our structured implementation process

We started with data and controls. CleanKing supplied and confirmed key operational information – delivery sites, ownership fields, removals, and monthly budgets per location – so we could set the account up cleanly and future-proof it by ensuring everything was set up for ongoing supply.

We then configured every location for real-world delivery. Each of the 334 sites was set up with delivery instructions, notifications and a regional schedule aligned to the expanded coverage area – so deliveries could run predictably.

To make sure the setup worked not just at launch, but long term, we also put the right controls and processes in place behind the scenes:

  • Invoicing and reporting configured to match CleanKing’s requirements (including end-of-month reporting and agreed invoice formatting).
  • Ordering controls set at site level, including the correct order approval roles and budget alignment.
  • Stock continuity processes agreed, including min/max controls for key lines and a routine back-order review process.
  • Commercial delivery thresholds applied, including carriage paid thresholds per site.

CleanScan QR ordering: speed on-site, visibility for the business

To streamline ordering across hundreds of sites, we rolled out CleanScan QR code ordering, so cleaning teams could access their pre-approved product lists and place orders quickly, directly from the cleaning cupboard.

CleanScan also supported a safer, more consistent approach across the estate by making it easier for teams to access:

  • Dosing charts
  • Safety data sheets
  • COSHH documentation and training support

Compliance and training: built in, not bolted on

A rollout at this scale only works if people feel confident using it.

We supported COSHH compliance by creating product risk assessments and implementing dosing chart setup (including printing and sending CleanScan posters and dosing charts to sites), then reinforced adoption with training sessions for area managers, operational staff and administrators – plus bespoke free online COSHH training modules tailored to CleanKing’s products and ordering process.

Delivery expansion without sacrificing reliability

Adding 334 delivery points meant longer routes and expanded coverage. Because we operate our own fleet, we could adapt quickly – expanding our route network and introducing additional driver support for long-distance deliveries.

Just as importantly, all deliveries were handled by AUK drivers to protect reliability, accountability and customer experience.

And throughout, CleanKing teams were kept informed with order confirmations, delivery updates and POD notifications, backed by Customer Care support via phone or email.
